OPERATIONS MANAGER - JORDAN
Reporting
• GENERALManager /CC Manager
Primary Responsibilities
• To manage effectively and efficiently within his/her area of contract responsibility facilitation of trade as aligned to the annual objectives and quality goals of the operations department:
o Planning and management of contract responsibility
o Timely issuance of Certificates with consistent import eligibility and conformity assessment following the business rules, contract country Instructions and other related references.
o Timely resolution of cases and service requests received from the network
o To ensure that Supervisors and their respective team satisfactorily complies with Certification Center performance standards and quality assurance procedures.
o To ensure that Supervisors and their respective team complies with Company Policies, Rules and Regulations
• To ensure effective and efficient project management and implementation of assignments provided by the Genral Manager.
• Responsible for keeping the company’s reputation and integrity through systematic, organized, analytical, careful, thorough, and precise approach in the conduct of people management, seminars/ workshops/conferences, and other related services.
• To provide operational support as required by Management.
Specific Responsibilities
• Daily Responsibility in the Production Planning and Management:
o Monitor performance of the Contract Responsibilities in terms of achievement on the Key Performance Indicators (KPIs).
o Gather all required information / updates from the principal that will be used to manage the contract responsibility, as needed.
o Check available statistical tools to determine which product group has the most number of files to process and initiate management intervention to ensure the timeliness of reports.
o Read Operations Updates to determine strategic goal/s or objectives.
o Read the diary notes of the Supervisors to be able to catch up on certain issues that can also affect other teams
o Read the diary notes of Management to be up to date on any personnel and other issues requiring action or immediate attention
o Echo new operational updates to the Contract Responsibilities, as necessary.
o Check actual manning of the Contract Responsibilities against the scheduled manpower and interview, hire and train new employees, or oversee those personnel processes.
o Determine status of the following and related update on the pending list against the actual status of the files on the floor
o Facilitate a Production Meeting to ensure that the team is aware of the goal and provides operations updates, as necessary.
o Discuss and resolve any operational problems that may arise. Elevate any operational, policy and people management issues that need to be clarified or requires guidance with the General Manager/CC Manager.
o Liaises closely with the General Manager to provide update or request clarification or seek guidance on procedural directions, process systems, policy issues, people management concerns and other strategic planning guide.
• Conducts trainings on related business processes, verification services processes (and develops training modules) as directed by the GENERALManager
• Creates and implement departmental policies, goals, objectives, and procedures, conferring with other managers, supervisors and staff members as necessary.
• Studies company financial statements, activity reports, and other performance data to measure productivity and goal achievement and to determine areas needing cost reduction and program improvement.
