Job Purpose:
Performs secretarial and administrative duties such as drafting and preparing correspondence and memoranda (Arabic/English), reports and other task related to Department.
Essential Duties and Responsibilities:
1. Drafts and prepares correspondence, memos and other form of letter under the direction of Department Manager.
2. Maintain filing system and data back up to assure timely retrieval of data and documents.
3. Attends meetings and take minutes, ensure to capture details and circulate to the concerned attendees as when required.
4. Initiate/ ensure to follow up all pending issues with the GM or concerned staff within the Department.
5. Schedules appointment and coordinates meeting for GM’s Office.
6. Screen and distribute mails and telephone calls for GM’s attention/action or to the concerned staff within the department. In the absence of GM or concerned staff ensure to take detailed message from the caller for proper response.
7. Receives visitors and re-directs as deemed appropriate.
8. Provide and calculate travel expense reports, routine sales reports, budget variance reports, etc.
9. Performs other related duties such as: renders first-hand translations, ensures that work surrounding is kept clean and tidy, etc.
