CEO Personal Assistant - iHorizons

Job Summary



The role of the PA to the CEO is to support the CEO in his efforts to achieve the company’s business objectives and deliver on his strategic goals, particularly in the areas of business development, client engagement and organizational development. The PA keeps abreast of organizational issues and has a good understanding of the company’s aims and objectives in order to succeed in this role. The PA uses advanced communication, organizational and administrative skills to achieve his/her objectives. The PA strive to improve the effectiveness of the CEO by continuously monitoring his time and activities and coming up with initiatives to enhance his productivity and focus on strategic issues. This requires resourcefulness and creativity in adding value to the CEO’s approach to work. The PA commission work on the CEO’s behalf as appropriate, and she/he can delegate some clerical activities such as copying, scanning and typing to secretarial staff. The role requires confidentiality and discretion, extensive follow up, the use of initiative, and the ability to work effectively with senior management, staff and client and partner contacts at all levels.









Functions and Responsibilities



The following is a list of the main responsibilities and objectives of this role.

1. Support the CEO in his strategic business functions and activities

Assist the CEO in envisioning and developing new business cases

Help document new business concepts and initiatives in presentable formats

Carry out background research and present findings

Help formulate business models and feasibility studies

Support the CEO in maintaining outstanding engagement levels with key clients and partners

Help the CEO stay updated on project implementation statuses

Assist the CEO in initiating and carrying forward various organizational development act



2. Organize CEO's time, tasks and meetings.

Manage the CEO’s calendar and arrange his appointments and meetings, prepare agendas, and coordinate with all relevant parties. Ensure that the CEO is well prepared for meetings.

Attend CEO’s meetings as required; produce meeting minutes and follow up on actions

Update, maintain and prioritize the CEO's task lists

Deputize for the CEO, make decisions and delegate work to others in the CEO's absence



3. Handle the CEO's correspondence & communications

Check CEO's incoming and outgoing emails and letters, and respond to them as needed

Research information for replies where appropriate both internally and externally

Screen and handle his external phone calls and communications

Maintain the CEO's contacts in public folders and private contacts



4. Coordination & Follow up

Manage and follow up work with various parties internally and externally

Review all documents before being handled over to the CEO

Handle the role of Management Committee secretary



5. Other tasks

Handle the CEO’s travel arrangements and plans

Help develop procedures and systems to enhance time effectiveness for various tasks

Check on CEO's office for stationary, consumables, books and other needs

Carry out various other tasks and support related to CEO’s activities as required

Assist admin staff in other tasks as needed

Document the detailed steps of all tasks and processes
