Office Manager

Job Summary:

Support the CEO & Business consultant by providing a series of administrative activities that facilitate the smooth running of the management office. Display a high level of diplomacy, discretion and confidentiality, and ensure compliance with administrative policies and procedures



Key Responsibilities and Roles - include but not limited to:

• Manage the daily administrative tasks including scheduling appointments, keeping track of calendars, scheduling meetings, correspondence, telephone conferences etc.

• Greeting and directing office visitors, responding to direct requests for information and assistance, forwarding messages, typing (forms, letters, correspondence letters both external and internal), filling and maintaining of filling system, translating, faxing, data entry, taking notes, managing the company’s incoming and outgoing mail, taking minutes of meeting.

• Book, prepare and arrange all outgoing and incoming business trips (. obtain visa, tickets, and hotels, pick up and drop off) for CEO & Business Consultant’s visitors and guests.

• Communicate and relay instructions from the CEO & Business Consultant to the respective dept. Heads / Directors / Managers.

• Follow up on all issues and instructions, and maintain a priority list of all tasks and update the CEO& Business Consultant accordingly

• Analyze incoming memos, letters, and submissions to the CEO & Business Consultant unless sealed confidential for the eyes of the CEO & Business Consultant only, to determine the significance and plan the distribution and reply.

• Read and summarize the CEO’s daily emails, and report highlights accordingly, then based on his instructions prepare replies and other actions.

• Protect the confidentiality of the CEO & Business Consultant’s office, by maintain proper filling system, and ensuring documents and information are not shared or disclosed to anyone without consent

• Serve as the primary point of contact for the office.

• Gain a general working knowledge of all departments within the organization in order to handle inquiries or redirect them to the appropriate department.

• Adhere and abide by all company’s policies and procedures.
