1. JOB PURPOSE
The job holder is responsible for the day to day processing of dutiable material into the Gateway and facilitate the customs clearance paperwork, to ensure all shipments are processed on time.
2. PRINCIPAL ACCOUNTABILITIES
• Ensure timely customs clearance of material into Doha Gateway.
• Ensure correct documentation, which is faxes, paperwork and images, is prepared for customs clearance and forwarded to Ground Operations in accordance with the procedures.
• Scan paperwork, extract information from CIA System and accurately input checkpoints to ensure compliance with network standards.
• Match paperwork to Bill of entries and complete them for timely presentation to Custom officials.
• Ensure original paperwork of shipments is pulled out from the warehouse for timely and efficient clearance.
• Maintain a detail status report manually of all non-advised shipments arriving Gateway, for appropriate clearance and despatch.
• Complete and manage inventory (reports) of all on-hold shipments pending custom clearance and coordinate with Operations Agents (Sorter/Feeder) and Customer Service to follow up hold shipments.
• Maintain regular contact with customers (internal and external) in relation to held shipments while maintaining a customer contact sheet.
• Checking tariff code currency and valuation of invoice and ensuring accurate calculation of duties payable to Doha Customs for dutiable shipments, so that all payments are made in a timely manner.
• Checking the duty exemption status of the shipments accordingly and initiating steps as required.
• Prepare Delivery Orders and other associated paperwork required by Doha Customs.
• Assist consignees in clearance of sensitive or restricted shipments such as drugs, DVD, CD etc.
• File and maintain shipment and customs documentation in a neat and orderly fashion at all times.
• Ensure all shipments have a Bill of Entry and a notification of charges on the shipment before it is dispatched for delivery.
3. NATURE AND SCOPE
a) Context
The Customs Clearance agent plays a key role in processing customs formalities of inbound shipments and initiating and completing customs documentation. The role is also critical in preventing business & monitory loss whilst maintaining customer loyalty to the DHL brand.

d) Problem Solving
The job holder must ensure any problems or issues encountered at the time of processing customs clearance etc are solved accordingly to avoid any delays. The jobholder will have to resolve problems relating to Customs Duty issues (e.g. tax and duties payable or Customs processes), whilst maintaining customer faith and avoiding loss of revenue through claims.
e) Decision Making
The jobholder has authority for all decisions during processing and clearance of shipments to ensure smooth flow of operation within Gateway facility.
f) Planning and Organisation
The job holder has to plan the daily work in the team in accordance with established routines.
g) Job Challenge
The jobholder is required to evaluate Customers needs and provide consistently a high level of quality service to achieve all KPIs. The jobholder is required to evaluate customs and excise information and choose the most appropriate communication channel to Customer Frontline staff and create action plans based on evaluation of Customs trends.
