The Office Administrator will be responsible for supporting the company administrative operations as well as work closely with senior managerial staff to provide secretarial and executive provisions. • Maintains office efficiency by planning and implementing office systems. • Assist the CEO with personal administrative duties. • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends. • Manage all contracts with external suppliers - constantly monitoring and assessing to make sure we are getting the best deals • Setting up new starters and inducting them by providing guidance and support regarding living and working in Dubai and any similar subjects. • PRO duties; visas and all related government tasks. • Arranging all external and internal events, meetings • Working closely with finance to ensure invoices are raised and payments are up to date • Filing: maintain up-to-date office files (both online and physical) for all invoices and correspondents. • Office Supplies: perform regular inventory of general office items, conduct price comparisons and place office orders, distribute supplies, organize supply closets/cabinets and file receipts or invoices from orders • Coordinate IT projects for the office as required with the support of our IT Consultant/Vendor and management guidance • Set-up for meetings and common space upkeep • Organization of the office including all cleaners and maintenance work • Ordering or obtaining business needs for staff (Business Cards, Phones, Etc.) • Monitoring of expenses and petty cash • Organizing and maintaining diaries and making appointments; • Taking dictation and minutes • Diary management of Directors • Organize Travel Arrangements within the UAE
