Executive Assistant - Temporary - Dubai World Trade Center L.L.C.

Job summary:



This position is accountable for providing administrative support to the VP. This includes schedule management and dealing with demands on the VP’s time, preparing and updating spreadsheets, documents, reports and presentations and making travel arrangements as required.



Major responsibilities and accountabilities:

• To screen telephone calls, enquiries and requests for the VP and handling them when appropriate.

• Calendar management for VP and department meeting room. Also, have viewing access for VP’s direct reports.

• Meet and greet VP’s guests and ensuring high level of professionalism is maintained.

• Assist with VP travelling, insurance and schools fees reimbursement and follow up.

• Attention to detail and always proof reading all communication sent for and on behalf of the VP and any other documentation submitted for VP approval.

• Ensure that files are well maintained and updated with proper labelling.

• Basic finance acumen to assist VP in closely monitoring and check P&L and report any discrepancy.

• Launch online surveys through Survey Monkey for related projects.

• Initiate online PRs, Leaves and closely monitor leave plan through Oracle Applications.

• To deal with incoming email, faxes and post for the VP.

• To deal with correspondence and writing letters, and taking dictation and minutes as needed by VP.

• To plan and co-ordinate meetings, notices, and agendas for the VP and the availability/scheduling of meeting rooms, AV support etc.

• Maintain under lock the department credit card and petty cash.

• Coordinate with the line managers on PC related deliverables for the department.

• Prepare and update spread sheets, documents, reports and presentations on behalf of the VP.

• To ensure that various distribution lists are kept up to date.

• Convey the VP’s outgoing mail in good time for onward transmission.

• Provide other administrative support to the VP as requested.
