Head of Events Management - Qatar Foundation

Job Purpose:

The Head of Events Management is mainly responsible for the program development, planning, scheduling and execution of Qatar Foundation (QF) events, large and small-scale, in support of QF’s communications and business strategies and objectives.



KEY RESULT AREAS

• Agree on a list of QF events; prepare/update the events calendar, ensuring its circulation to all relevant stakeholders and other departments of Communication Directorate. Monitor and review its implementation.

• Contribute and conceptualize ideas for QF events to support its communication strategy, discuss with Events Manager.

• Provide guidance to the Events Management Specialist towards acceptance or decline of request from centers, on the basis of pre defined parameters.

• Articulate key objectives, key message, target audience and expected outcomes for events to ensure alignment to strategic QF communication objectives.

• Provide event brief to event management partner, work closely with them to prepare the event project plan; submit to Events Manager for approval.

• Assist the Events Manager in chairing the cross-functional steering committee for events planning, formulate a sales strategy for the planned event, including promotional plan and ticketing partners if relevant and track the effectiveness/impact of the event.

• Assume responsibility for overseeing end-to-end project management of all activities for the QF event. Identify venues, obtain approval, work with the Head of Protocol & Visitor Releations to prepare guest list, coordinate with Marketing for production of collaterals and invites, make logistics arrangement and identify opportunities for possible media coverage for the events. Monitor and ensure that budget is maintained.

• Remain abreast of legal and regulatory compliances required for these events, and ensure compliance with same.

• Give relevant inputs to Head of Events Production for finalizing feedback questionnaires and take ownership of obtaining external audience feedback, if required. Hand over results to Events Production Unit Head for collation. Analyze the findings in collaboration with Events Production Unit Head and identify corrective action plans.

• Guide Events Management Specialist for ceremonial court booking requests approving acceptance or rejection to end users in line with pre defined parameters.

• Provide inputs to Events Manager to determine outsourcing requirements.

• Ensure delivery of QF events shared services to centers within agreed timelines, SLAs and budget, identify and share corrective actions with team to improve performance.

• Lead the formulation and articulation of business plan for Events in line with Communication Directorate plans; conduct monthly business plan review with team. Take ownership of relevant objectives in the Communication Directorate Business plan; report status on owned objectives and initiatives to Events Manager for monthly review.

• Assist Events Manager to prepare a draft department budget for the year in line with Finance Directorate Guidelines. Monitor periodically to ensure compliance.

• Identify need for vendors/outsourced partners based on departmental work load and long term needs, shortlist vendors and follow procedures for appointment of vendors/modification of contracts. Take ownership of supervision of key vendors.

• Approve work completion certifications and invoices for department specific vendors for further processing, finalize and approve the vendor appraisal forms and ensure that periodic vendor/agency appraisals are conducted.
