Lower School Secretary - ACS International Schools

OVERALL JOB PURPOSE



To provide administrative and secretarial support to the Principal and general administrative support to students, parents and faculty, working in the (High School/ Middle School/ Lower School/ Early Years) Office and Reception.



PRINCIPAL ACCOUNTABILITIES

Secretarial and administrative support to the Principal

Provide secretarial, administrative and other ad hoc support to the Principal/ Line manager including diary management, filing, photocopies, letters, reports and presentations, organising signatures for Professional Development/Per Diem/cheque requests or budget coded Petty Cash Vouchers, so that the Principal/ Line manager can work efficiently and effectively.



Keep all (HS/MS/LS/EY) school forms up to date and ensure copies are kept in the office so that the School runs efficiently and the required records are maintained.



Reception and answering the telephone and provide cover for colleagues

Answer the telephone and respond to visitors in reception, problem solving as far as possible and referring on the callers to the relevant member of staff so that visitors are welcomed to the School.



Provide cover for colleagues’ absence to ensure the School continues to run effectively.



Meetings and events

Plan events and the schedule of photos and arrange meetings in the (HS/ MS/LS/EY) to ensure that the events, photo schedule and meetings are well organised.



Registration and attendance

Keep registration records and sign in/out sheets, inform faculty ahead of time of planned absences (. school trips) and circulate daily absences or lateness reports to ensure that accurate attendance records are kept and that the Principal is informed of repeated lateness or frequent absences.



Students’ passes and records

Reorganise student file drawers at beginning of each academic year to reflect new grade, copying Leavers records, to ensure that student files are maintained.



Issue Student ID cards and pink slips and manage the upkeep locker keys including key deposits to ensure all student ID cards and keys are accounted for properly.



Keep Security informed of students who are walking/cycling or driving to school so that passes can be issued and School security maintained.



Mailing lists, Newsletters and other mail-outs to parents

Update (HS/MS/LS/EY) Handbook and the (HS/MS/LS/EY) Stationery/Supplies List for Admissions Department and for families so that accurate information is distributed.



Type up, copy and distribute newsletters, Homework notices, reports and other mail-outs to parents to support good communications within the (HS/MS/LS/EY).



School trips and activities

Assist in mailing information for High School Trips and other events, collecting Permission Slips/School Trip information sheets and collecting monies (registering cheques in excel spreadsheet, copying and depositing cheques and sending out receipt letters to families for trip monies paid) so that accurate records are kept.



Stationery

Maintain adequate stocks of paper, arrange the upkeep of the photocopier and fax machine and assist with sending faxes so that the School office works well on a daily basis.
