Personal Assistant to the Chairman - Event Organizer

* Job Summary:

The Personal Assistant is responsible for providing full assistance and support to the Chairman by scheduling his appointments, handling documents maintenance, processing translation and correspondence, updating website content as well as initiating email campaigns for IFP Group and/or other sister companies.



* Job Duties and Responsibilities:

- Organizes and plans the daily agenda, meetings, conferences and working sessions of the Chairman in order to inform concerned parties accordingly and to ensure effective time management.

- Manages and prioritizes the Chairman’s correspondence including calls, emails and faxes.

- Handles an accurate and continuously updated filing system for the Chairman’s office.

- Responds effectively to inquiries coming from employees and/or third parties with high standards of discretion, professionalism and ethics.

- Ensures a smooth yet efficient flow of administrative work with all internal and external stakeholders.

- Collects and researches information on assigned matters and produces reports as requested.

- Produces translations for specific materials related to the business needs.

- Attends senior level meetings (executive committee, board meetings or other) and records minutes of meetings for future reference.

- Updates upon request the Group’s websites (uploading photos, organizing information…etc).

- Initiates and organizes monthly email campaigns in coordination with sister companies.

- Updates on regular basis the e-mailing address book and the photo library of the Group and its sister companies.
