Administrative Manager - Manpower Middle East

A world renowned beverage company is looking to hire an Administrative Manager to be based in their Dubai office. This position will report into the General Manager - MENA.



Purpose of the Job:



• To increase their business by providing good customer service to external customers, as well as back-office support to MENA marketing & sales team

• Manage the day-to-day administrative tasks of the MENA office in a professional manner.



Job Responsibilities:



• Customer Service - ensures that shipping and payments are well coordinated with the partners.

• Bank related tasks - coordinates with the bank, performs bank reconciliation and other related tasks.

• Office accounting: generates monthly reports for office expenses. Responsible for the payment of utility bills, local suppliers, employees and other miscellaneous expenses.

• Customer accounting: depletion reports, forecasting, marketing expense overview, payment tracking, budget & estimates input in SAP.

• Government service office - deals with GSO for visa processing, renewal and other related tasks.

• Miscellaneous administrative work - performs tasks related to above functions, as well as help employees on specific assistance.



Detailed Task Specification:



Handles office payments: 20%

Etisalat, DEWA, UPS, local suppliers & miscellaneous expense



Reports: 50%

1. Forecasting report

2. Depletions report

3. Monthly Exp. report sent to Copenhagen

4. Marketing invoices - Debit/Credit Statements to be sent to HQ

5. Monthly MENA invoice statement

6. Estimate & budgeting



Customer Service: 10%

1. Aging Debtors

2. Forecast report

3. Follow up on monthly orders

4. Assist in shipping issues



Bank related work: 5%

Reconciliation, documentation, deposits etc.



Government Service Office - Media City: 5%

1. Payment of monthly office bills

2. Visa related work - New Visa, renewal, cancellation, etc.

3. Trade License, Import Code and Lease renewals

4. P.O. Box renewal

5. Miscellaneous



Miscellaneous Work: 10%

Filing, Attending phone calls and walk-in guests, sending couriers & faxes etc.
