Reception/Administration - Green Coast Enterprises

Job Purpose



To assist in ensuring customer service and administration accountabilities are met across Green Coast Enterprises at all times



Principal Accountabilities (Key Performance Areas)



Administrative



• Preparation of correspondences as and when required to suppliers/contractors, government authorities etc.

• Division paper works/correspondence/reports/proposal etc.

• Maintaining files - all related documents required in the department

• Data base system of all records for future references

• Correspondence as and when required by the supervisory and senior management

• Department weekly meeting ( preparation of agendas and minutes)

• Submission of reports to other departments

a. Petty cash reimbursement to accounts department

b. Certified invoices to accounts department for product supplied and services rendered.

c. Overtime authorization forms for technicians to HR department and other related requirements concerning staff

d. Submission of attendance sheet for all RE staff as per schedule.



Reception



a. Insuring all calls for trading and real estate are answered after three rings.

b. Acting as a gate keeper for all calls, obtaining caller information including name and telephone no. and reason for calling.

c. Delivering customer service with a smile for all inbounds calls.

d. Greeting all guests with the smile

e. Fielding all visitors and calls to appropriate/concerns employee.
