Job Goal:
To be responsible for the management of services and processes that supports the needs and requirements of the Academy. He/she insures that Academy has the most suitable working environment for its employees and their activities.
Essential Requirements:
The General Service Administrator is involved in both the planning and day-to-day operations, particularly in relation to buildings and premises, and assists in financial matters. The facilities coordinator acts as a focal point that ensures effective coordination with Qatar Foundation Facilities and Administration (F&A)/Head Office regarding all facilities matters related to the Academy.
Duties and Responsibilities:
• Following up on contract matters related to buildings and premises.
• Following up on work of contractors.
• Building and grounds maintenance. Assessing maintenance problems and following up on the maintenance program.
• Checking that agreed work by administration, faculty and staff has been completed satisfactorily and following up on any deficiencies.
• Managing furnishings programs.
• Checking and following up on cleaning services.
• Checking and following up on catering services.
• Arranging and following up on transportation services
• Assuring fire, health and safety procedures are adhered to in assigned facilities.
• Following up on Building and grounds maintenance. Assessing maintenance problems and following up on the maintenance program.
• Preparing venues for meetings and events.
• Following up on housing matters.
• Placing, following and receiving orders of books and stationary. Then distributing them to classes.
• Placing, following and receiving costume orders and arranging selling them for parents.
• Following up on printed materials, books, copybooks, yearbook and newsletter.
• Assisting in financial matters. Investigating availability and suitability of options for new purchases, calculating and comparing costs for required goods or services to achieve maximum value for money, raising MR etc.
• Preparing operational reports and analyses for the Director of the Academy setting forth progress, adverse trends and appropriate recommendations and conclusions.
• Acting as a focal point in line with HSSE department in QF to ensure
• compliance with QF standards and Academy needs in:
- Supervising security services
- Responding appropriately to emergencies or urgent issues as they arise.
- Reporting and recording incidents
- Providing Academy administration, and if need be, HSSE with statistical
reports related to security and safety in the Academy.
- Conducting regular inspections to the buildings and its premises to ensure a healthy, safe and secure environment.
• Performing other related duties incidental to the work described herein.
• Performing any extra duties as assigned by the Director of the Academy.
