I. Job Objective
To perform secretarial work and provide administrative support in accomplishing the duties and responsibilities of the Managing Director and DOA.
II. Duties and Responsibilities
1. Establish and maintain file, record of correspondence, reports and other important documents.
2. Reads and screens incoming correspondence and reports; makes preliminary assessment of the importance of documents prior to reporting to the Managing Director/DOA
3. Composes letters and memoranda as instructed by the Managing Director/DOA
4. Maintains adequate stocks of necessary office supplies and initiates necessary requisitions.
5. Ability to judge, coordinate and make decisions with high degree of common sense and attains the best possible performance.
6. Establishes and maintains cordial and close working relationships with other departments.
7. Maintains professional business confidentiality all the time.
8. Strictly adheres to all policies and procedures of the company.
9. Answers all telephone calls according to standards.
10. Manages work schedule and travel arrangements of the Managing Director and DOA.
11. Prepares minutes of the meeting during Department Head meeting and the like.
12. Updates the Managing Director and DOA on status of issues and concerns regarding the Club that could be used in daily meetings.
13. Performs all other duties as may be assigned by the Managing Director or DOA
14. Ensures working area of Executive Office is safe and clean.
