• Answer incoming telephone calls, determines purpose of calls, and forward calls to appropriate personnel or department, and take relay message whenever necessary.
• Answer questions about organization and provides callers with inquiries that may include address, directions, and other information.
• Welcome on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
• Receive, sorts, and routes mail; maintains and routes publications.
• Maintain fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.
• Monitor and maintains office equipment/Maintain an adequate inventory of office supplies.
• Develop and maintain a current and accurate filing system.
• Report any maintenance/security issues immediately to line manager, including all furniture, fittings and equipment.
• Order, receive, and maintain office supplies.
• Organize conference and meeting room bookings
• Act as a focal instructor point for the driver and the office boys.
• Perform other clerical duties such as filing, photocopying
• Carry out instructions given by the management team
