1.Coordinates the preparation of the University’s facilities’ annual maintenance plans with the other departments and faculties and manages the implementation of these ensuring full compliance with all statutory, and health and safety requirements.
2.Analyzes and recommends the most cost-effective approach to maintenance
and renovation of the University’s facilities.
3.Develops and implements service level agreements (SLA’s) with Outsource providers and all departments / faculties so as to identify the services, terms and conditions and expected outcomes of services that will be provided to the various clients.
4.Ensures that maintenance manuals, operating procedures, usage instructions, drawings, etc. for all equipment and material are available in the department in easily retrievable and usable form.
5.Oversees the Helpdesk function and ensures a prioritization system is established for service requests, maintenance and construction projects / orders in terms of importance and make certain that the services provided are of a high quality standards.
6.Oversees the appropriate routing of trouble calls related to building maintenance and services, and develops KPI’s for their timely completion.
7.Ensures that monthly/weekly and daily work schedules for all maintenance activities are initiated and monitors its effective implementation.
8.Coordinates and monitors construction and maintenance projects with other faculties / departments to ensure University’s specifications (general cleanliness, safety, hazardous material, facility maintenance, and operational standards) are maintained.
9.Conducts regular tours and establishes inspection programs of maintenance operations to review progress and perform equipment spot checks and investigations of maintenance problems.
10.Ensures the monitoring of building control systems and coordinating the maintenance of equipment including steam producers, boilers, liquid chemicals, generators and other equipment.
11.Notifies appropriate department personnel when repairs are necessary, and assists in making repairs and switching to back-up systems when required.
12.Ensures a CMMS/CAFM system is in place that will provide for accurate and timely reporting of O&M activities and accurate costing data.
13.Responds to electrical power outages and other emergencies and works to restore services to assigned buildings through appropriate resources.
14.Identifies maintenance services to be provided by external contractors, assist in development of tender specifications, and monitor quality, KPI’s and progress of work executed by external contractors.
15.Participates in tendering procedures relating to maintenance and construction work, machinery or parts purchases.
16.Participates in the final inspection, and evaluates completed work to prepare reports on external contractor’s performance and capabilities.
17.Prepares regular MIS report on the progress of the University’s facilities’ maintenance activities and projects.
18.Provide technical maintenance support and advice to the University’s faculties and departments as required
