Event Coordinator - Qatar Intermediate Industries Holding Co., Ltd.

Job Information & Purpose:

Reports to: Manager, Corporate Affairs and Communications



Responsible to manage the overall planning, execution and administration of events for Alwaseeta in accordance with the marketing plan and project activities.



Duties and Responsibilities:

 Manage the overall execution of events for Alwaseeta targeted to increase awareness among the public, ensuring brand building and enhancing of potential strategic partner interest.

 Drive participation in targeted conferences and events where Alwaseeta is given the opportunity to connect and engage with potential strategic partners and other key stakeholders.

 Arrange all communications material at the events and ensure stationery provided during the event has the corporate logo and brand name as per the specified guidelines for usage.

 Develop the event project plan (in case of project milestones as well as general events) with cost estimates.

 Ensure the event project plan is prepared from feedback received from past and the progress of the Event (pre and post execution) is tracked using an events checklist.

 Manages the event arrangments internally or through external event management companies (if required)

 Ensure the event management arrangements include sending of invites to the expected attendees, informing the media on the event dates and time, presentations, speakers (if any), other event logistics etc

 Prepare the purchase requisition for order of communications material with the approval of the Finance Directorate

 Analyse the effectiveness of the events determining number of people who attended the event and by distributing feedback forms and obtaining feedback from relavant participants.

 Identify opportunities for sponsoring events where Alwaseeta can leverage on its brand image and ensure that Alwaseeta brand receives coverage during the event as per the agreed terms and conditions.

 Manage the entire event sponsorship process from contacting the organizers, reviewing the sponsorship brochure, expressesing interest to sponsor events, arranging the budget approvals and logistics for the event.

 Establish and maintain a good working relationship with suppliers/ contractors.

 Track and monitor personal performance against annually determined performance measures and project deliveries

 Ensure compliance with the performance management process and its linkages to learning and development.
