This role is responsible for overseeing the management of ICD facilities (buildings, office equipment, furniture etc) and ensuring that services like housekeeping, security, hospitality and transportation meet high standards of service quality. In addition to working clolsey with Government Relations to ensure to ensure the facilitation of related processes and activities.
KEY RESPONSIBILITIES:
Overseeing the maintenance of ICD facilities and infrastructure, coordinating and appointing consultants or contractors to rectify inadequacies, if any.
Overseeing the management of the travel desk assistance function for ICD employees (Travel/ Taxi/ Hotel/ Conferences/ Car rentals/ Visa/ Petty cash etc) by monitoring service quality and volumes .
Supervising the Administration Officers in conducting feasibility analysis of alternate vendors for the Bank's hospitality and procurement needs, and approving selection decisions in a manner that secures efficient investment of ICD funds
Ensuring that employee queries and requests on administration services are addressed in a timely manner, and as per stipulated levels of quality.
Overseeing the provision of housekeeping services at ICD, by ensuring that ICD staff deliver a high quality of service on day to day maintenance and housekeeping processes
Ensuring that ICD's safety and security guidelines are upheld, and handling escalations on vendor management for the outsourced security providers, to ensure continuity of service
Ensuring that a high levels of quality are maintained for the Bank's hospitality services (reviewing the adequacy of hospitality staff- tea boys, levels of service etc)
Coordinating with key service providers at IDB to ensure smooth provision of administrative services for the organization
Coordinationg with the IDB Government Relations to ensure timely processing of related requests and the resolution of any pending item timely and efficiently
Manage the relations between the ICD and other Staff Outsourcing Partners, to make sure that terms of reference, payment, and other activities are properly managed
Manage relations between the ICD Admin unit and the Administration Services Department in the Bank to make sure that healthy cooperation and synergy is in place
Manage the procurment process in the ICD through the SAP system and according the rules of the organization
Formulating budgets for the administration division in conjunction with the organizational budget, tracking expenses and ensuring adherence.
Educational Qualification:
Bachelor degree
Work Experience:
5-7 years in the administration function
Skills :
Arabic is a must
