- Answers and transfers a very busy switchboard promptly, professionally and courteously;
- Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals;
- Provide efficient and high quality administrative support service;
- Greet visitors warmly and make sure they are comfortable;
- Deal with enquiries from clients, colleagues and third parties and provide effective transfer of information;
- Locate and attach appropriate files to incoming correspondence requiring replies mail newsletters, and other information;
- Maintain scheduling and event calendars;
- Schedule and confirm appointments for clients, customers, or supervisors;
- Facilitate employee operational requests as and when required such as meeting room booking, conference calls, etc.;
- Set up and maintain paper and electronic filing systems for records, correspondence, and other material;
- Answer inquiries about company;
- Inform persons that visitors are waiting for and book them a room to meet in;
- Ensure reception area is tidy;
- Give visitors badges and direct them to where they can sign in;
- Send email and faxes;
- Collect and distribute parcels and other mail;
- Perform basic bookkeeping, filing, and clerical duties;
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Secures information by completing database backups.
