General administrative support:
Secretarial assistance.
Organising staff and vehicle entry permits for Za’Atari camp.
Organising arrangements for office activities/events such as meetings, trainings and workshops.
Organising/booking meeting rooms in Za’Atari with UNHCR
Monitoring staff movements in Za’Atari camp via radio and mobile phone and recording on white board
Managing daily attendance sheet in base camp
Maintaining office supplies and stocks, including arranging for new stocks and supplies to be purchased.
Ensuring appropriate care and maintenance of office equipment and furniture.
Management of stationary supplies ensuring minimum stock levels are maintained;
Ensuring requisition for stationary, services and other office purchases are processed in line with OGB procurement procedure;
Managing casual cleaning staff and ensuring cleanliness of all Oxfam properties;
Managing office filing system
Office communications:
Acting as first point of reference for visitors and inquiries.
Dealing with incoming visitors and ensuring prompt and accurate transmission of messages.
Ensuring effective communication within the office through the maintenance and updating of the office diary and notice boards.
Communicating with and updating the team about team activities, visitors from other offices, holidays and other relevant information.
Maintain the office asset inventory and household asset inventories and work with the Finance team to achieve quarterly reconciliation of all items to the books of account.
This post is based at Za'atari camp. Travel will be provided on a daily basis from Amman. Salary 8,500-11,000 JD
