Human Resources Administrator - University of Calgary Qatar

Reporting to the Director, HR and the Advisor, HR, the HR Administrator will coordinate the housing stock provided to Canadian hires and guests. This includes managing the inventory of units, allocating assignments, communicating with Canadian hire employees regarding their assigned unit and their responsibilities upon hiring, termination and any moves in between, and liaising with the property management regarding maintenance, move-in and move-out issues. Additionally, this role provides administrative support to the HR team and backup transactional support to the Advisor, International Recruitment, regarding the hiring, retention and termination of Canadian Hire faculty and staff, travel arrangements, immigration and the administration of school fees. Responsibilites include but are not limited to:



Accommodation Coordination:

•Assign accommodations for new arrivals and inspect units of departing employees

•Maintain a waiting list for changes to current staff accommodation.

•Maintain and update an inventory of furnishings.

.•Inspect housing and ensure items needing repair are reported and fixed, and accommodations are adequately cleaned prior to move-in.

•Ensure proper set up and take down of the guest accommodations.

•Supervise subcontractors maintaining and repairing the accommodations.

•Ensure proper reconciliation of invoices for subcontracted work.

•Assist in the development of internal information regarding accommodations, and the guidelines for assignment and requests for changes.

•Communicate with UCQ staff on accommodation issues.



Administrative Support Function for HR Team, Travel, Immigration and Local Payroll Hiring:

•Initiate PeopleSoft Job Change forms.

•Add pay forms for relocation allowance, overseas premium and transportation allowance.

•Assist with the various reports related to Canadian Hire Faculty and Staff employment.

•Ensure proper documentation for all Canadian Hire Faculty and Staff, including auditing files.

•Track contract expirations of Canadian Hire Faculty and Staff.

•Assist in completing the procedures for departing employees.

•Ensure updated information is entered correctly into the HRIS.

•Complete Compliance Checklist and AccPac requests, following up with local finance regarding payment to vendors for HR purchases.

•Provide letters for all UCQ staff as requested through the UCQ HR letter request system.

•Provide back up support for school fee payments in alignment with UCQ policy.

•Provide back up to the Travel and Immigration Coordinator in processing visas (entry and exit), and residence permits, and reviewing travel requests in line with UCQ policy and guidelines.
