Logistics Assistant - Oxfam

ARDD - Legal Aid Purpose: To work with others to find lasting solutions to poverty and suffering.

International Division Purpose:To act with poor people as a force for change in addressing the causes of poverty, suffering and injustice, alleviating their symptoms.

Job Purpose:To provide logistics support for the Jordan emergency programme.

Reporting Structure: Reports to: Logistics Manager.



DIMENSIONS

• Carry out tasks within guidelines laid down by managers/supervisor.

• Tasks are usually routine but will require initiative and/or basic planning.

• Responsible for the proper use of equipment by others.

• May be responsible for supervising one or more support staff, including planning of day to day work.

• Required to gather and give information to supervisors, managers and occasionally members of public.

• Impact wider than team/processes.

• Contribute to improvements in processes.



KEY RESPONSIBILITIES:

1. To provide logistics support to the Humanitarian Programme in Jordan

2. To implement and monitor logistics systems, in accordance with OXFAM policies and procedures.

3. To assist in identifying and to develop good working relations and contacts with appropriate suppliers in Amman

4. To maintain a database of suppliers, equipment and specifications able to supply OXFAM humanitarian programme and to share this information with the Logistics and Programme staff.

5. To request for quotes, carry out quotation analysis, raise Local Purchase Orders, in a timely manner as per OXFAM procedures.

6. To prepare payment requests to Finance.

7. To open and maintain necessary logistics and supply files.

8. To be responsible for follow-up on all pending purchases and related issues.

9. To prepare and submit weekly procurements reports as requested.

10. To report monthly on all logistics activities to the Logistics Coordinator.

11. To assist in customs clearance.

12. To be responsible for transportation of goods to the field.

13. To supervise and plan vehicle allocation in order to optimally serve the needs of the project.

14. To facilitate the monitoring of the fuel consumption of all the vehicles, and manage the drivers.

15. To compile monthly vehicle running costs.

16. To undertake any other task as requested.

17. To be familiar with and to adhere to OXFAM staff safety and security procedures.

18. To be familiar with and adhere to the NGO/Red Cross Code of Conduct and Oxfam Procedures and Code of Conduct.

19. Assets:

- Maintain a system of management and control of equipment/assets.

- Check the correct use of equipment (computers, printers, generators, ...)

- Find qualified technicians who can maintain and repair equipment.
