Position Summary:
This position is responsible for the professional and efficient managing of visitors, telephone calls and messages, as well as a variety of clerical duties that support customer services, information and referral and the operation and presentation of a professional office.
Major Responsibilities:
•Answer all telephone calls, screen and direct calls to relative persons
•Take and transmit fax & telephonic messages to appropriate person
•Direct visitors to exact staff member
•Pick up and deliver all mails
•Maintain common filing system and file all correspondence in chronological order
•Assist in planning and preparation of meetings, conferences, telephone calls and seminars
•Properly respond to public inquiries and provide them word-processing or secretarial support
•Coordinate in the repair and maintenance of office furniture and equipment.
•Greet persons who are entering in the organization either are customers or visitors
•Deal with queries of visitors, customers and general public
•Keep the knowledge of staff movement in organization
•Provide support in clerical and administrative matters
•Maintain an appointment diary mutually or electronically and schedule appointments
•Organize meetings
