JOB PURPOSE:
To deliver an administrative support role to the branch Short Programs and associated stakeholders, suppliers and internal colleagues.
KEY ACCOUNTABILITIES:
Manage SP communications and correspondences, action all requests and queries relating to SP training administration and maintain a calendar of events arranged with invited attendees/participants.
Schedule and coordinate attendance on SP activities, courses/workshops, arrange attendance on approved courses, including liaising with other departments/functions such as F&A, M&S and Production
Provide full course logistical coordination including booking suitable site locations, rooms and timings to deliver training, establishing trainer availability, establishing numbers attending, sending invites, and joining instructions, and ensure attendance on courses is maximised.
Produce support materials for training courses, including sign in sheets, required hand-outs, evaluation forms etc, and proactively champion training record uploading onto CRM with the goal of supporting the development of reporting through the CRM system.
Produce certificates of attendance for courses and ensure all sign in sheets and post event evaluation forms are returned, reviewed and collated and maintain records of all training carried out using spread-sheets
Maintain and develop the branch SPs Activities Summary including uploading documents, updating and uploading SPs related documents.
Collate SP Information data, produce and circulate monthly training reports for each course
Produce ad hoc reports, maintain and develop key SPs reference documents and carry out any other tasks which might be reasonably expected in support of the business
COMMUNICATIONS & WORKING RELATIONSHIPS:
Internal:
The branch manager on a weekly basis to report progress versus targets and to discuss any pertinent issues.
Branch Sales and F&A Team members
Other functional and departmental managers on an as-needs basis.
External:
Branch shareholders on an ad hoc basis to present SPs Activities.
Local regulatory bodies in order to comply with their requirements.
